At the company’s head office in Oslo, there is an open position as Executive Assistant.

 

Executive Assistant

 

The Executive Assistant should be characterized by extraordinary service mindedness, flexibility, and dependability.  He/she should be able to manage several stakeholders and make independent decision within the scope of the role.  

The Executive Assistant is responsible for assisting the President & CEO, as well as other CxOs, by providing administrative support. 

The primary role is that of providing Executive Assistant support for the President and CEO. This is estimated at about 50% of the role. The other 50% will be to act as Executive Assistant for other CxOs and to support the activities and meetings of the Board of Directors

Some travel might be required but would be untypical.

 

Professional Responsibilities and Authority

The Executive Assistant has the responsibility to ensure that all administrative work required by the President & CEO or the CxOs is followed up timely.

Main responsibilities are:

  • Support the President & CEO with all tasks required to ease his daily work and travel
  • Manage calendars and travel
  • Manage logistics around external meetings, from invites and meeting room bookings to organize refreshments/catering
  • Manage team meetings and company gatherings
  • Manage any admin processes on behalf of the relevant CxO, (ie time management approvals, travel settlements, invoices etc)
  • Provide a positive and supportive capacity
  • Organize travels including keeping the team updated on travel policies and relevant information for travel destinations in close cooperation with our security department.
  • Ensure relevant filing is done in a systematic manner.
  • To ensure the External Meeting room centre is presentable when receiving guests/visitors
  • To support the legal department with planning and preparing for the Board of Directors meetings
  • Be flexible and support a variety of other tasks needed by the President and CEO as well as the Senior Management Team.

 

The perfect candidate for this role:

The ideal candidate for this role has a successful track record as an Executive Assistant, PA or Management Support Specialist, preferably from a larger industrial, technology and/or service-based company operating in an international environment.  

On a personal level, the Executive Assistant must be likeable, extraordinary service minded, flexible and dependable.

 

To take on this role we expect the right candidate to have the following critical experience:

  • Experience from managing multiple stakeholders, (although primarily supporting the President & CEO)
  • Experience from juggling several tasks at the same time
  • Experience from prioritizing, and make independent decision within the scope of the role
  • Provide positive and flexible attitude in a sometimes-hectic workday, and to proactively engage in relevant activities if/when spare capacity is available.
  • Being comfortable with variation and at times lack of absolute clarity.

 

What do you need to know for this position?

With regards to education, we expect a 3-year relevant higher education as a minimum, but most of all will your relevant work experience be considered. 

Proficiency in the Norwegian language would be helpful, but other candidates with fluent English skills could be considered.

  • Good interpersonal skills, balance firmness and flexibility
  • Be pro-active, solution oriented and open-minded
  • Excellent English skills, written and spoken
  • Excellent IT skills in particular the MS Office suite
  • Knowledgeable and competent with a clear and reflective approach to problem solving.
  • Solid experience from international organizations and working with senior global Executive management
