The Executive Assistant should be characterized by extraordinary service mindedness, flexibility and dependability.

He or she should be able to manage several stakeholders and make independent decision within the scope of the role.  

Some main responsibilities are:

  • Manage CEO`s calendar, E-mail inbox and travels, and help prioritize and manage response
  • Manage logistics around external meetings, from invites and meeting room bookings to organize refreshments/catering
  • Manage leadership team meetings and contribute to planning of company gatherings
  • Manage any admin processes on behalf of the relevant RLT member (i.e. time management approvals, travel settlements, invoices etc.)

  • Provide a positive and supportive capacity
  • Organize travels including keeping the team around the CEO updated on travel policies and relevant information for travel destinations in close cooperation with our security department.

A perfect candidate for this role

An ideal candidate for this role has a successful track record as an Executive Assistant, PA or Management Support Specialist, preferably from a larger industrial, technology and/or service-based company operating in an international environment.  

We believe you are at your best when you work with people in a collaborative setting, which is very much the case in this company.  

You are triggered by delivering results and meeting customer expectations, setting high standards while achieving set goals.  

As we are a growing company in a developing industry, we also think that you adapt and respond well to change, being open to new ideas, and showing sensitivity to different cultures.

To take on this role we expect the right candidate to have the following critical experience:

  • Experience from juggling several tasks at the same time
  • Experience from prioritizing, and make independent decision within the scope of the role
  • Provide positive and flexible attitude in a sometimes-hectic workday, and to proactively engage in relevant activities if/when spare capacity is available.  
  • Being comfortable with variation and at times lack of absolute clarity.

What do you need to know for this position?

We expect a 3-year relevant higher education, and minimum of 5 + years’ relevant work experience. Candidates with extensive relevant experience will also be considered

  • Good interpersonal skills, balance firmness and flexibility  
  • Be pro-active, solution oriented and open-minded  
  • Fully fluent in written and verbal English. Advantage with other languages, in particular Scandinavian or Portuguese.
  • Excellent IT skills
  • Knowledgeable and competent with a clear and reflective approach to problem solving.
  • Solid experience from international organizations and working with senior global Executive management

The successful candidate will be offered a competitive compensation package.

Location is at the company’s Head office in the west side of Oslo, Norway
